Confidentiality Policy

PURPOSE

It is hereby acknowledged that no information gained or accessed as an employee or Contractor of Teamwork Accounting Pty Ltd (“Company”, “us”, “our”, “we”) may be used for personal purposes or gain by employees or Contractors. This includes, but is not limited to, software, hardware, client data base, client specific information, Quality Systems, Handbooks, Manuals and Training Documentation.

POLICY

Further, no information may be relayed in any form to any third party without the prior consent of a Director or the Client.

In respect of Income Tax and Accounting activities, it is acknowledged that employees and Contractors shall have access to Tax File Numbers of clients. Under no circumstance may any employee or Contractor provide to any Client, (or their spouse, or related third party) details of Tax File Numbers without first clearly establishing the identity and consent of the client or obtaining the consent of a Director. To do so would be a clear breach of Federal Legislation.

This implies that employees and Contractors shall not leave any client documentation or information in any area of work such that any other third party may see or read such documentation. Employees and Contractors are fully aware of the firm’s obligations under the relevant privacy and confidentiality legislation, and agree to comply with these obligations.

When emailing details of tax returns to any party, including the client, the Tax File Number on the Return must be deleted prior to sending. Further, there are from time to time, requests by clients or financing third parties for Tax Returns to be provided to the third party, e.g. a bank. Under no circumstance shall this occur without either the prior consent of a Director or the clear establishment by a staff member of the identity of the Client. Client approval MUST be obtained before issuing details to third parties. Such client requests must be retained on file. Where the request is verbal, a clear and concise file note must be retained on file.

From time to time, Clients may attend the offices and ask to access all or part of their files. As the files also include working papers, calculations and other information that are solely the work and property of the Practice, no client may access these files nor have papers or documents removed from files and given up to the client. At all times, employees shall firstly discuss the matter with a Director. If a Director is unavailable, then the client shall not have any access to our records.

Employees must not make copies of confidential information belonging to the Company unless the copy is made and used exclusively for work purposes.
